Secretariat

Secretary General 

The Secretary-General is the overall head of the Conference and is responsible for its preparation and success. They hire Secretariat members, oversee each portfolio on the Secretariat, and are involved in all aspects of the conference as a resource for guidance and support. They are particularly involved in the administrative and logistical aspects of the conference, through entertaining close relations with the Sheraton Hotel and with Faculty Advisors. The Secretary-General also sits on the IRSAM Board of Directors as the direct representative of SSUNS, advocating for its interests and upholding its mission to other members of the Board. 

Under-Secretary General of Committee Affairs

The USG Committees oversees the creation of the committee slate, the completion of background guides, and the conducting of staff trainings. They also hire three deputies with whom they work with to recruit and allocate over 100 daises and staffers. Additionally, the USG Committees spearheads the making of the GOD Folder and collaborates with the Chief of HR and the PR team to finalize the equity statements and photo covers of all the background guides. During the conference weekend this role involves responding to any and all committee-related issues ranging from equity problems to prewriting to slack troubles.      

Deputy USG Committee Affairs - General Assemblies & Economic and Social Councils (GAs/ECOSOCs)

The Deputy USG Committees of GAs and ECOSOCs assists the USG committees and oversees the creation and implementation of the eight GAs/ECOSOCs. Pre-conference, they work with the USG Committees to develop a creative and educational committee slate, hire staffers, communicate with dais members, edit background guides, and lead the GA/ECOSOC staff training. During the conference, they oversee the delegates, staff members, and logistics for all of the GAs and ECOSOCs, remaining the main point of contact for dais members in this portfolio. 

Deputy USG Committee Affairs - Specialized Agencies (SPECS)

The Deputy USG Committees for Specialized Agencies assists the USG Committees in the organization and coordination of the committees at SSUNS and more specifically of the Specialized Agencies. They oversee the staff, logistics, and delegates for the eight SPEC committees. One of the main responsibilities is building an innovative portfolio that stresses diversity while providing educational opportunities for delegates to explore their creativity. In addition, they are the primary point of contact for the eight daises, guiding them through the background guide writing process, editing these background guides, creating the SPEC delegate workshops, and leading the SPEC staff training.

Deputy USG Committee Affairs - Crisis 

The Deputy USG Committees for Crises works with the USG Committees to develop and implement SSUNS’ eight exciting Crisis committees, in addition to overseeing and assisting each of the committees’ respective daises. Beginning their work in February, the Dep Crisis works to create a diverse and innovative committee slate, prioritizing an exciting and educational experience for Crisis delegates. In the months leading up to the conference, they assist in dais and staffer hiring, serve as a point of contact and support for the daises, edit background guides, and host trainings. During the SSUNS weekend, the Dep Crisis actively oversees the logistics of the Crisis committees and handles any issues that may arise.

Chargée d’Affaires 

The Chargée d’Affaires acts as the point of contact for delegation faculty advisors, sending out regular updates about the conference and registration. Working with Team Reg, they also overview registration and Financial Aid application to make SSUNS as accessible as possible. The Chargée also works with registration coordinators in increasing outreach to schools that have never participated in SSUNS, and to organize the delegates committee and country/character assignments. During the conference weekend, the Chargée leads FacAd feedback sessions and continues to be a point of contact between the Secretariat and FacAds and delegations.

Chief of Human Resources

The Chief of HR is responsible for the hiring of all staff and serves as the main point of contact between staff members and the wider Conference. They are also in charge of all aspects related to equity, leading Team Equity to devise and deliver the Equity Training for both staff and delegates as well as respond to equity issues that may arise during the Conference weekend. Additional responsibilities include managing the Wellness Room, ensuring the welfare of all staffers, and taking disciplinary actions where necessary.

Chief of Operations

The Chief of Operations is responsible for the overall logistical infrastructure of the conference, including acting as a liaison between the Secretariat and the Sheraton Hotel and handling all contracts dealing with the logistical aspects of the conference. The Chief of Operations’ responsibilities include creating the conference schedule, overseeing opening ceremonies & closing ceremonies, spearheading the set-up of all committee rooms and their audiovisual equipment, all in very close collaboration with the Sheraton Hotel staff. 

Under-Secretary General of Finance 

The USG Finance is responsible for managing all financial matters related to the conference. This includes tasks such as compiling and managing the conference budget, handling general accounting duties, projecting revenue, and managing cash flow during the conference. The USG Finance serves as the main point of contact for budgetary and financial matters between SSUNS, incoming delegations, and its parent corporation, IRSAM Inc.

Director of Public Relations

The Director of Public Relations is responsible for overseeing all PR functions, as well as the PR team which consists of the Deputy External Outreach, and Deputy Brand Management. In general, responsibilities include securing sponsorships and speakers, overseeing all social media, managing team PR, creating charity partnerships, creating and coordinating deliverables, etc. The Director of PR is a really rewarding experience, because it helps create a memorable experience that can be remembered– not only for themselves, but for everyone involved within the conference!

Deputy Director of PR - External Outreach 

The Deputy Director of External Outreach under the PR Portfolio works to handle a multitude of tasks such as: spearheading outreach efforts to secure committee and keynote speakers, actively contributing to the establishment of charity partnerships, and providing, valuable support in securing sponsorships and brand deals. This position also handles the design of badges and placards in advance of the conference. The Deputy of PR: External Outreach works directly with the Director of PR and the Deputy Director of Brand Management as well as the Stakeholder Outreach Coordinator (and any other PR coordinators) in advance of and during the conference. 

Deputy Director of PR - Brand management 

The Deputy Director of Brand Management under the PR Portfolio takes care of all social media coverage of the conference, building up the way we want the conference to be perceived and trying to best promote its values through the use of a variety of media techniques. From fun and educational Tiktoks, to the presentation of the secretariat on Instagram and the editing of the closing and opening ceremony videos, the goal of the deputy director is to make sure the delegates get ready for the conference excited to be there visualizing what it is going to be like and leaving with amazing memories captured live through our lenses. 

Director of Events 

The Director of Events oversees the planning and execution of all SSUNS-related events, ranging from the Delegate Gala and staff appreciation nights to the McGill campus tour. Responsibilities with this position include the venue selection, contract negotiation, and the supervision of the events staff. Additionally, the Director of Events collaborates closely with other members of the SSUNS team to ensure seamless coordination between different aspects of the conference. The key goal of this position is to create memorable experiences for delegates and staff in order to make sure everyone has a good time at the conference!

Under-Secretary General of Administration  

The USG Administration oversees all administrative tasks, from running the website, to ordering merchandise, to running the Delegate Resource Center. They are responsible for uploading all information and making sure all forms, such as the registration form, are functional on the website. Moreover, they must reach out to suppliers, establish quotes, and place orders, making sure all items will be delivered on time. Finally, during the conference, the USG Admin and their team run the DRC, a table where delegates come to ask any question they might have regarding the conference and buy merch.

 

Dais

Dais members can serve as Chairs, Vice-Chairs (VC), Crisis Directors (CD), or Assistant Crisis Directors (ACD). They are the heads of the committee and are responsible for the flow of debate.

 

Coordinators

Administration Coordinator

The Administration Coordinator will work with the Undersecretary-General Administration on various logistical tasks: managing the SSUNS website, communicating with merchandise vendors and coordinating content for the Delegate Handbook. During the Conference, the Admin Coord will run the Delegate Resource Center along with the DRC coordinators. The candidate must have strong organizational and communication skills and must be a flexible team player. French and English bilingualism and experience with website management are not required but are assets to the candidate.

Registration Coordinator

The Registration Coordinators will work with the Chargée d'Affaires and Team Registration on outreach concerning faculty advisors, delegates, and the recruitment of new delegations. The ideal candidate has strong organizational skills, a good understanding of Excel and PowerPoint, and is comfortable with cold calling and public speaking.

Events Coordinator

Events Coordinators work with the Director of Events and are responsible for helping the organization and the unfolding of all events leading up to and during the conference. These include being present on SSUNS days to facilitate the sales and recruit staffers, helping at staff events, in which they must assist with finding venues, barter drink deals, and host the events. They are also responsible for coordinating the Delegate Dance which includes renting relevant equipment and decorating the room. Event Coordinators also oversee the running of the ICAO and McGill campus tours that are planned for this year. Applicants with strong organizational and event-planning skills are preferred for this position!

Finance Coordinator

The Finance Coordinator will work with the Undersecretary-General Finance to compile and manage the conference budget, estimate revenue projections, issue refunds and bursaries to delegations, and oversee cash management during the conference. Experience with accounting and balancing budgets is an asset. 

Equity Coordinator

The Equity Coordinators will collaborate closely with the Chief of Human Resources to organize equity training for the Secretariat, Coordinators, daises, and staffers. The Equity Coordinators and Chief of Human Resources will be primarily responsible for the wellbeing of SSUNS staff over the conference in November. As such, they may be privy to sensitive information related to equity, meaning there is a great deal of trust associated with this position. The ideal Equity Coordinator is empathetic, has strong active listening skills, and has had previous equity training and/or disclosure training.

Design Coordinator

The Design Coordinator works with the Director of PR and is responsible for creating the designs which will be used on the various advertising platforms and conference materials of SSUNS. They will be interacting with different portfolios within SSUNS and must have good organizational skills. Responsibilities include designing merchandise and logos. The Design Coordinator must be familiar with software to create computer-generated designs. The ideal applicant is creative and proficient in computer design programs. Graphic design skills are essential for this position.

Photography/Videography Coordinator

Photography/Videography Coordinators work with the Director of PR and are responsible for official pictures of events leading up to and throughout SSUNS. Their tasks include taking and editing photos, creating and compiling footage for viewing at the conference, and posting photos on the official SSUNS and IRSAM social media pages. Editing and video production experience is ideal for this position. Applicants will be required to submit a portfolio, and will also need to have knowledge or experience in taking and editing photos.

Stakeholder Outreach Coordinator

The outreach coordinator assists the Deputy Director of PR: External Outreach and the Director of PR with sponsorship related duties, along with obtaining speakers (committee and keynote) and helping out with our charity partnership. The outreach coordinator will also help out in running the SSUNS walkway, and crafting engagement strategies.

Delegate Resource Centre Coordinator

Delegate Resource Centre Coordinators manage the Delegate Resource Centre (DRC), the hub of delegate affairs during the conference. They are responsible for handling, pricing, marketing, and selling SSUNS merchandise during the conference, and answering the various inquiries of delegates, faculty advisors, and staffers throughout the conference. DRC Coordinators will work with the USG Administration to train and oversee DRC Staffers. The ideal candidate should have experience in customer service and sales. They should also be able to rapidly learn the relevant details regarding the conference, the hotel, and the city of Montreal.

Operations Coordinator

The Operations Coordinators will work as part of a tight-knit team with the Chief of Operations to handle all logistical and technical issues that arise during the conference. Their main responsibilities will include setting up and taking down audiovisual equipment in committee rooms, as well as providing technical support to daises and staffers. Familiarity with IT and A/V equipment are assets. Candidates must be adaptable team-players and able to handle pressure. 

 

Staffers

Committee Staffers

Crisis Staffer

Assists crisis committees by writing articles, enacting roles, and creating content in the crisis backroom. Communicates with dais members and delegates for the organization of the committee. Works with the crisis director to creatively shape the crisis arc of committee. Crisis committees have a small scale, with less than 25 delegates.

Specialized Agency Staffer

Assists Specialized Agencies (SPECs) by facilitating debate during committee session. Aids dais members in implementing innovative SPEC procedures, as well as passing delegate notes and relaying staff messages. Supports the general organization of committee. Specialized Agencies operate on a moderate scale, with 25-50 delegates.  

General Assembly/ Economic and Social Council Staffer

Assists General Assemblies (GAs)/ Economic and Social Councils (ECOSOCs) by facilitating debate during committee session. Aids dais members by passing delegate notes, relaying staff messages, and monitoring delegate dynamics. Supports the general organization of committee. General Assemblies and ECOSOCs are the largest committees at SSUNS, with more than 50 delegates. 

Logistical Staffers

Delegate Resource Centre Staffer

Assists the Delegate Resource Centre Coordinators and Registration Team at the Delegate Resource Centre (DRC) with merchandise sales and answering delegate questions throughout the conference.

Events Staffer

Assists the Events Coordinators with organizing staff social events and the Delegate Gala. Responsibilities include handling equipment, setting up decorations, doing crowd control, etc.

Wellness Staffer

Assists Wellness Coordinators with planning initiatives and finding sponsorships that will promote the overall wellness of SSUNS staff. Organizes the Staff Wellness Room during the conference.

Photography/Videography Staffer

Assists the Photography/Videography Coordinators in taking photos and videos of committees, gala, staff events and other memorable moments of the conference that will be used on various SSUNS social media pages and as promotional content for future years.

Flex Staffers

Assist whichever portfolio is in demand. For example, should the Events team need extra assistance in the morning, Flex Staffers will be directed towards them, while if perhaps the Wellness team need aid later in the day, Flex Staffers will help them out. They may also assist the Committees portfolio.
